The on-call report answers "who was on call?", and "who will be?", for any dates you choose. Use it for timesheets, on-call pay, an audit, or just to check next month's cover. Export it to a spreadsheet or print it.
You'll need to be an Admin. Open On-Call Schedules and click On-call report.
Running a report
- Pick the dates. Use a quick choice (last 7 days, last 30 days, last month, this month, next 30 days) or set your own. A report can cover up to 400 days, in the past, the future, or both.
- Narrow it down if you like. Choose one schedule or all of them, and one person or everyone.
- Click Run report.
What you get
Summary by person. For each person: how many shifts, how many days they were on call (any part of a day counts), and their total hours. Time spent on two schedules at once is counted once.
Shifts. Every shift with its start and end, the person, and the schedule. Each row is marked as one of:
| Type | Means |
|---|---|
| On call | The person held the pager through their rotation. |
| Override | Someone covered through an override. |
| No coverage (by design) | A rotation was set up with nobody on call at that time. |
| Uncovered gap | No rotation covered that time at all. See Coverage Gaps. |
Untick Show gaps to see people only.
Daily breakdown. Switch to Daily breakdown to see one line per person per day, with that day's hours. A week-long shift becomes seven lines, which is usually what on-call pay or a timesheet needs.
Times and days follow each schedule's own timezone. A day runs midnight to midnight there, so the day the clocks change can come to 23 or 25 hours.
Recorded, From schedule, and Projected
Every row tells you where it came from:
- Recorded: written down at the time, as it happened. This is the real record. It stays correct even if the roster changes later, an override is deleted, or a person or schedule is removed.
- From schedule: a past date that wasn't recorded, worked out from how the schedule is set up today. It's accurate if nothing has changed since, but it won't reflect roster changes or overrides deleted since then.
- Projected: a future date, worked out from the schedule as it stands now. Overrides you've already added are included.
Recording started when this feature was released, and the page shows the date. Reports for dates after that are Recorded. Earlier dates show From schedule.
Exporting
- Export CSV saves whichever view you're looking at, shifts or daily breakdown, as a spreadsheet. It includes each person's email, start and end in both the schedule's time and UTC, hours, and whether each row was recorded.
- Print / PDF prints a clean copy of the report. Choose "Save as PDF" in your browser's print window to keep a file.
Good to know
- Deleted schedules still appear for the time they were recorded, marked (deleted).
- Switched-off schedules show only what was recorded while they were on. Nothing is projected for a schedule that wouldn't page anyone.
- People who have left still appear under the name they had at the time.
